Spring Field Banquet Center Rules and Regulations/Terms of use
APPLICANT HEREBY APPLIES FOR RENTAL and USE of Spring Field Banquet and Conference Center, hereafter known as "SFBC" subject to terms, rules and regulations, limitations and requirements listed on this contract.
Food & Beverages:
If any person under 21 years of age is found consuming alcoholic beverages, we reserve the right to discontinue alcoholic beverage service at no liability to Spring Field Banquet Center and with no refund to the client. The last call for alcoholic beverages will be announced one hour prior to the end of your scheduled event, and failure to comply will result in the termination of the event with no refund. SFBC does not allow kegs to be used for service of alcohol. SFBC is not responsible for minors drinking. SFBC required SFBC's own bartender to handle all alcoholic beverages.
Deposit and Guarantee:
An initial deposit of $500 to hold the date for 10 days. Remaining portion of 25% deposit from the total fee is required within 20 days to reserve the event. Next payment of 50% is required 6 months prior to the event date or the date required by SFBC, if the event is scheduled less than a year in advance. These payments will be applied to the final bill. The remining balance is due 20 days prior to the event date. SFBC must receive a guaranteed attendance number 20 days in advance of the function. This number will be considered a guarantee, not subject to reduction, and charges will be based on this number or the actual attendance, whicheveris greater. Prices are subject to change without notice and are guaranteed at the time the initial deposit is received.
Cancellation & Refund:
Cancellation notices must be submitted in writing or in person. An initial deposit of $500 is refundable only if cancellation is made within 10 days. Additional deposits are refundable up to 50% for the cancellations received prior to the 6 months before the event. If cancellation notice is given less than 6 months prior to the event date, no refund will be given under any circumstances. For events being reserved less than 6 months prior to the event, no refund will be given under any circumstances. Client will keep store credit only for Rescheduling.
Area use, responsibility & smoking policy:
All indoor spaces are non-smoking. Smoking will only be permitted outside on patio areas. Your reservation is for an area or room as designated by the contract. Individuals whose signatures appear on the contract assume financial responsibility for rental fees, food and beverages ordered, and any damages that may occur as a result of abuse. All SFBC by-Laws and regulations apply to the area or room being rented. The SFBC staff may terminate, with just cause, occupancy at any time with no refund.
Room set-up & access:
Room will be set up to client's requirements prior to the start of the event and can not be re-set during the event. Deliveries and additional preparation must be coordinated with SFBC. Any special arrangements must be made in advance with your on-site banquet manager.
Room capacities & usage:
Room capacities are designed to allow for the greatest number of guests based on local fire code maximums as well as specific client requirements. The capacities are as follows: Rose ballroom 320. Carnation hall 285. Azalea room 50. Building total 1340.
All parties agree that SFBC will not be held responsible for any incidental or consequential damages from causes beyond its control such as, but no limited to, ACT of GOD, power outage, failure of equipment, and traffic road, and parking condition. All parties agree that SFBC's maximum liability, under any circumstance even in case of negligence, will NOT exceed the actual fee charged for the particular services provided.
Decoration:
Decorations may not be affixed to the walls, or fixture. Confetti, rice, smoke and fog machines and birdseed are not permitted. Violation of this rule will result in the lessee reimbursing the SFBC for the cost of replacing any and all ceiling tiles and/or wall sections, and a $50 per hour cleaning fee will be charged. All candles must be contained. Open flames are prohibited. A written permit from the city of Fullerton fire department is required.
Conduct:
The responsible party shall have all guests cooperate with the SFBC staff in regard to appropriate conduct. SFBC reserves the right to remove from the facility, any person who does not comply with the directives of our staff.
General:
1. The building must be vacated by 12:00am or six hours after the start of the event, whichever comes first. Rental of the banquet hall will generally be from 10:00am until 11:30pm, unless specific approvla is received from SFBC staff. 2. No excessive noise or loud and raucous activities are permitted. Lessee will be responsible for adherence to the City's noise ordinance. 3. Sitting or standing on tables or standing on chairs is not permitted. 4. No items, including tables and chairs, may be removed from the building. 5. State Fire Regulations prohibit the blocking of any exit. 6. Children must be supervised at all times. 7. A cart is available for moving items into the building. Please avoid dragging items on the floor.
Outside Contractors:
1. All caterers are asked to thoroughly clean the "prep-area" and outside dumpster/ delivery area prior to the rental end time. SFBC will charge the Responsible Party a $50 per hour clean up fee if caterer fails to adequately clean. The kitchen "prep-area" must be left as clean as it was found. 2. Caterers are required to remove all food, equipment, and belongings prior to the room rental end time. 3. All items that are borrowed and used must be returned to their proper location. 4. Lessee is responsible for all violations of the above rules and all damages caused by any contractor used for the event, including but not limited to caterers, DJ's, bartenders, videographers, choreographers, florists and photographers.
Fees & Services Charges:
1. Any last minute additions must be paid prior to the event with cash only. 2. A 18% service charge and state sales tax will be added to all banquet services. California law states the service charge is subject to sales tax. Menu selections, prices, service charges and sales tax are subject to change without notice.
Additional Information:
1. There is a minimum number of guests required for all events. Please consult with the banquet manager. 2. Functions with alcoholic beverages are required to have one security guard per 100 guests. The charge is $150.00 per security guard. 3. We are not responsible for damage or loss of any items on the property under any circumstances. 4. A security deposit may be required for any damage to our facility incurred by you or your guests or anyone you contracted for outside services. Your security deposit must be paid by check 20 days prior to the event. 5. Saturday and Sunday daytime events may be scheduled between 10:00am and 3:00pm. Saturday evening events may bescheduled between 6:00pm and 11:30pm. However, hours are subject to flexibility.
